Senior Secretary: School of Agriculture and Environmental Sciences.
Qualifications and requirements:
• National Diploma in Office Management Assistant with three years working experience Or three-years Secretarial qualification with a minimum of three years working experience, preferably at the academic environment • Comprehensive knowledge of all secretarial functions in an academic environment • General office and receptionist skills • Evidence of computer literacy skills • Good communication skills (telephone, writing, and verbal skills) • Organisational skills including filing and knowledge of office equipment • Willingness to accept and follow directives. • Ability to work independently with minimum supervision and under pressure • Ability and skill to provide work directives to others. • Ability to maintain strict confidentiality.
Duties and Responsibilities:
The successful candidate will be expected to: • Maintains a wide variety of manual and electronic documents files and records (e.g. Student records, school committees’ meeting records, staff leave records, financial records, etc.) for the purpose of providing up-to-date information. • Prepares a variety of documents (e.g. correspondence, agendas, minutes, event programs, etc.) for the purpose of communicating information. • Deal with all meeting administration including coordinating meetings, booking venue for meetings and workshops. • Processes documents and materials (e.g. quotation seeking, invoice payments, incoming communications, student records, etc.) for the purpose of disseminating information in compliance with administrative guidelines and regulatory requirements • Procures supplies and materials for the purpose of maintaining the availability of required items • Responds to a variety of inquiries from a variety of internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information or direction • Schedule a wide variety of activities (e.g appointments, meetings, facility usage, etc.) for the purpose of making necessary arrangements. • Scrutinize and record details of all incoming mail, print out relevant messages and priorities according to the urgency and redirect inappropriately addressed mail to correct quarter • Make conference and travel arrangement for Director and other staff members as per request • Draft letters and reports for the Director • Perform any other administrative duties/ responsibilities that may be assigned by the School Director.
